How the best sell AI automation to small firms

Vendors that sell well put a money figure in the headline, name the buyer's profession, lead with a free diagnostic and show their working on ROI; this page lists the moves, the playbooks and the language.

This page compares about 64 vendors in law, mortgage, insurance, immigration and financial advice, plus horizontal AI-automation agencies in the US, Canada and Mexico, and about 70 more in mature small-business verticals. Only quotes confirmed against the raw page HTML appear in quotation marks. All figures are vendors' own claims.

1. The rule under everything: sell money, not technology

In each niche, the vendors that stand out put a money figure, or one that obviously becomes money, in the headline or first proof block.

NicheWhat the headline measuresExamples
LawCases signed, cost of a receptionistSmith.ai: "+80% increase in booking rate with Smith.ai vs. an in-house solution"; "$42K average yearly savings vs. an in-house receptionist". Eve's on-page calculator estimates over $2 million more gross settlement value a year from 125 cases at $20,000 and a 33% firm cut
Financial adviceHours per advisor, then revenueJump: 10 hours a week saved per advisor. Zocks: customer tiles such as 28 hours saved per advisor per week
InsuranceROI multiple, revenue from callsSonant: "8X ROI in 30 Days"
MortgageSpeed to submission"BrokerPlus gets you to submission 70% faster."
ImmigrationTime per applicationDocketwise: "Spend 75% less time on admin with immigration legal case management software". Visto: "Prep immigration applications 80% faster with Visto."
Accounting (Mexico)Percent of time savedContalink's headline promises saving 80% of time
Horizontal toolsCost of a hireSmith.ai's pricing FAQ puts its Pro plan about $33,000 a year below a receptionist's salary. The Automators sets a $55,000–$75,000 salary plus 25–35% overhead against a build from $3,000

The number is niche-specific: law buys signed cases, mortgage buys files that reach a lender, insurance buys policies and renewals. Hours saved usually come second, as the mechanism.

2. Moves the winners repeat

Counts come from 22 US and Canadian agencies and productized services (Morningside, LeftClick, The Automators, Ascero, Smith.ai, Lindy and others), tallied page by page.

3. Playbooks worth studying

  • Caseflood (law intake). One niche, one workflow, a firm-specific free audit ("Find the cases you're leaving on the table."), proof as signed cases per month at named firms (client-reported).
  • Finch and Smith.ai (legal). Free consultation, about a week of onboarding and a 30–45 day no-lock-in pilot (Finch); every price published with a 30-day refund (Smith.ai). Most vendors in these niches hide prices.
  • Sonant (insurance). Comparison pages, free calculators, case headlines as money multiples, certification with the system agents already use. Price is quoted by call volume.
  • The Automators and Ascero. Fixed-price builds from $3,000, a calculator that emails a PDF, a hire-versus-build comparison, a founder on the first call.
  • Leadsales and Contalink (Mexico). One quantified outcome in the hero, low published prices (Contalink from MXN 590 a month, Leadsales from MXN 2,363), free tools, a trial, then an AI agent as an add-on. The market runs on WhatsApp.
  • Mature verticals. Yuma charges only for tickets fully resolved by AI after a 30-day trial; Tidio publishes a 50% AI resolution-rate guarantee; Hatch buckets customer logos by revenue band; Weave (dental) holds an exclusive American Dental Association Member Advantage endorsement.

4. How vendors build ROI claims

Two formulas cover nearly every calculator reviewed.

  • Lost revenue: inbound volume × share missed × close rate × average value gives "you are losing $X a year", followed by the share recovered and the price as a fraction of the loss. Keres's sample (250 calls, 60% answered, a $680 job) shows about $17,000 a month lost. Frostbite prints the formula on its page.
  • Time value: people × weekly hours × loaded hourly cost × share automatable gives hours and dollars a year; payback is build cost divided by monthly saving. The Automators' default output is 5,250 hours a year and payback in about 3 months.

Design choices differ. Frostbite shows recovery scenarios of 38% and 50%; some calculators assume full recovery and ignore the price. Keres states that its 25% close rate is its own assumption. Ascero lists what it does not measure. WorkLLM shows ranges and says the result is time capacity reclaimed, not guaranteed savings. Headline percentages with no method are common (Vendasta: margins up more than 30%; a Lindy customer: "at least a 5x return on investment").

5. Vendor language: tropes and how often they appear

Counts are word searches over 432 phrases verified against the raw HTML of 104 company sites.

TropeTimesExample

"not just / no fluff"5"We don't just talk AI. We deliver it." (Morningside)
Data not used for training5"Client prompts and data are never used for training" (FurtherAI)

At least six vendors frame AI as preparing work for a person to approve: BrokerPlus ("You approve every key decision."), Lindy, Beam ("Critical steps wait for approval wherever your team works."), Crosby, CopyCat and Caseflood.

Common promises and who makes them:

PromiseExamples
Client owns the work"Everything we build belongs to you, forever" (ChatGPT.ca)
Start from the client's numbers"We start with your numbers, revenue, margins, bottlenecks, before touching anything." (Builts)
Pay for outcomes"We use a results-guaranteed compensation model, so you pay for outcomes, not hours." (Liboiron)
Work inside existing tools"No ripping out your stack, we work with your CRM, ERP, helpdesk, and data sources." (Taycon AI)
Start with one job"Turn one manual workflow into a controlled AI system." (True North Agentics)

The strongest lines pair one job with one figure (Docketwise, Visto, BrokerPlus) or name the pain in the buyer's own terms: "Stop chasing documents." (Finmo), "From signed engagement to lender-ready file" (Builts).
